Quick summary:

We collect phone numbers only when you (or your end users) provide them. We use them to deliver requested messaging services, support, and account setup. We do not sell personal information. You can opt out of non-essential communications at any time.

1) Who we are

This Privacy Policy describes how NovaX Technology Inc. (“NovaX”, “we”, “us”) collects, uses, and shares personal information when you: (a) visit our website, (b) request a demo, or (c) use our messaging automation services for WhatsApp and Instagram.

2) The two contexts we process data

  1. Website Visitors / Leads: you submit information to request a demo, pricing, or support.
  2. Platform Usage (Customers & End Users): our business customers use NovaX to manage conversations with their end users.

In the “Platform Usage” context, we often act as a service provider to our business customer. That business customer is responsible for their own privacy disclosures and lawful basis to message and process end-user data.

3) Information we collect

  • Contact information: name, company, email, and phone number (only if provided).
  • Account & configuration: business profile details, connected channel identifiers, user roles, and settings.
  • Message data (when you use our platform): phone numbers of end users, profile names (if available), message content, attachments, timestamps, and delivery/read events.
  • Technical data: IP address, device/browser info, logs, and security events.

4) How we use information

  • Provide demos, onboarding, support, and customer service.
  • Provision and operate messaging channels and automations.
  • Route messages, assign conversations, and generate analytics (e.g., response time, volumes).
  • Maintain security, prevent abuse/fraud, and enforce our terms and compliance rules.
  • Send operational notices (e.g., service changes, billing, incident notifications).
  • Send marketing communications only if you opt in where required by law.

5) Phone numbers and consent (important)

When you give us your phone number (e.g., demo request): we use it to respond to your request, schedule calls, and (if you ask) communicate via WhatsApp/SMS. Providing a phone number is optional—if you prefer, contact us by email.

When our customers message their end users: Meta’s WhatsApp policy requires that end users have provided their mobile number and granted opt-in permission to receive messages from that business. Our customers are responsible for collecting and retaining proof of that opt-in.

Opt-out: you can opt out of non-essential messages by replying with common keywords (e.g., STOP) or contacting us at support@novaxinc.com. For end users messaging a business that uses NovaX, opt out requests should be sent to that business; we will support our customer in honoring them.

6) How we share information

We share personal information only as necessary to operate our services, including:

  • Meta platforms: WhatsApp Business Platform / Cloud API and Instagram Messaging integrations to deliver messages.
  • Service providers: hosting, logging/monitoring, analytics, CRM/support ticketing, and email delivery vendors.
  • Legal and safety: if required to comply with law, enforce our agreements, or protect rights and safety.

7) International transfers

Our service providers (including messaging platforms and cloud hosting) may process data in jurisdictions outside your province/country. We take steps designed to protect data through contractual and security measures.

8) Data retention

We keep personal information only as long as necessary for the purposes described above, including legal, accounting, and security requirements. Message retention may be configurable by the business customer. When retention ends, data is deleted or de-identified where feasible.

9) Security

We use reasonable administrative, technical, and physical safeguards (access controls, logging, encryption in transit where applicable, and least‑privilege access). No system is 100% secure; please contact us promptly if you suspect unauthorized access.

10) Your choices and rights

  • Request access, correction, or deletion of your personal information (subject to legal limits).
  • Unsubscribe from marketing messages at any time.
  • For end-user data processed on behalf of a business customer, requests should usually be directed to that business.
